Referral Letters Using Your Best Practice Template

Lyrebird can generate multiple referral letters simultaneously — each tailored to the specific specialist — and save them directly to Correspondence Out in Best Practice.

Please find the steps to utilise referral letters below:

Complete your consultation as normal, then click Stop Listening. Lyrebird will generate a summary of your consultation within seconds.

Review the consultation summary. Lyrebird will have identified all referrals required based on the discussion. For example, for a patient with diabetes, you may see referrals flagged for:


Diabetes educator

Dietician

Optometrist

Podiatrist

Click Write Document and use the search bar to find your referral letter types. Search for each specialty and select it under the BP Referral Letter option. For example:

Search "podiatrist" → select Podiatrist under BP Referral Letter

Search "dietician" → select Dietician under BP Referral Letter

Search "diabetes educator" → select Diabetes Educator under BP Referral Letter

Search "optometrist" → select Optometrist under BP Referral Letter

Once all referral types are selected, click Create. Lyrebird will generate all four referral letters simultaneously — in just five clicks.

Review each generated letter. Each specialty will only contain information that is relevant to their profession. For example, the podiatrist letter will reference the ingrown toenail review and diabetic foot assessment, not unrelated conditions.

For each letter, select the addressee using either:

The Best Practice contact list (available via the Lyrebird integration), or

HealthShare

Search for and select the preferred specialist. Their contact details will populate automatically.

If there are relevant investigations to include (e.g., pathology results, imaging), you can attach these within the referral letter. They will be automatically included at the bottom of the letter.

Once you are satisfied with each letter, click Save to BP. The letter will be saved to Correspondence Out in Best Practice.
​From Correspondence Out, you can:

Review the letter

Print and sign it

Email it directly to the specialist

Provide a copy to the patient

Edit it further as needed

Importing Letterheads for Referral Letters

Part 1: Importing Your Letterhead

1. Go to Customize → BP Referral Letters → Import a Referral Letter. Lyrebird will automatically search for the most recent referral letter sent from the patient's record.


2. Review the letter that Lyrebird has captured. If it contains your clinic's letterhead, you're ready to proceed. If not, click Choose Another Letter to browse your most recently sent referral letters.


3. Once you've identified the letter with your correct letterhead, click Use as a Template.


4. Give your template a clear name — for example, Gordon Street Medical Centre — so it's easy to identify later.


5. Press Next. Lyrebird will take a moment to import the template and will then automatically map each section of your letterhead, including:


Patient's medical problems

Medications

Allergies

Clinician account details


6. Once the import is complete, press Save and Exit.


If you have multiple users in your organisation, you can share this template with others at the same clinic so everyone benefits from the same branded letterhead.

Part 2: Using Your Template to Write a Referral

1. Open a consult and go to Consult → Obtain Consent, then start listening.

Verbalise the reason for referral during the consult. For example: "I want to refer you to a podiatrist for an annual foot check to assess blood flow and protective sensation in your feet."


2. Press Stop Listening. Lyrebird will capture your consult notes.

When ready to write the referral, go to Search for Documents, type the relevant specialty, then click Write.


3. Instead of selecting the default BP Referral Letter or Letter to Specialist, choose the template you uploaded (e.g. Gordon Street Medical Centre).


4. Lyrebird will generate a complete referral letter using your clinic's letterhead. From here you can:


Choose the addressee

Include relevant investigations

Save directly to the Correspondence app


Note: Once your template is saved, it will be used automatically every time you generate a referral — no manual formatting needed. Share it across your clinic so all users produce consistent, branded letters.
