Set Document Sorter up once so documents arrive with the right destination, category and doctor already filled in. These settings are in Organisation › Document Sorter. Most require an organisation admin.
Turn Document Sorter on and give people access
Switch on Document Sorter for your organisation.
Choose which members can use it. See Assigning member access.
Categories and routing rules
Document Sorter comes with 26 categories (Pathology, Imaging, Referral, Discharge Summary and so on).
Add, rename or remove categories to match how your clinic files documents. Staff can also add a new category on the fly while reviewing.
Set a routing rule per category - for example, always send Pathology to the doctor's inbox under Investigations. Documents in that category then arrive pre-filled with that destination.
Default destination
Choose where documents go by default (Doctor's Inbox or Patient's File) and which section. Documents nobody has opened yet are pre-filled with these defaults, so a batch is ready to verify.
Document date
Choose which date is used as the document date in Best Practice: the date Lyrebird reads from the document, or another date option.
Review fields
Choose which fields appear on the review panel, so staff only see what your clinic uses.
Doctors
Choose which doctors appear in the doctor list at each site - for example, to hide doctors who have left. Doctor lists are kept per site.
Maximum upload size
Set a maximum file size for uploads, up to 20 MB.
Several clinics on one Best Practice site
If your organisation has several clinic locations that share one Best Practice (Halo) site:
Set up a clinic for each location and assign staff to their clinic, so each clinic sees its own documents.
Only assign clinic names when clinics genuinely share a Best Practice site. If each location has its own site, you don't need to.
Check the Best Practice site IDs are correct before saving.
Staff who work across locations can switch between them with the site switcher.
Each clinic can have its own email forwarding address and allowed senders. See Set up email forwarding.
Send audit log
Admins can see a full log of every document sent: when, by whom, which file, the Best Practice patient and doctor, and whether it succeeded. Failed sends are clearly flagged.
Usage
See how many documents each clinic and staff member has processed.
