Document Sorter reads the documents your clinic receives, works out which patient and doctor they belong to, and files them into Best Practice for you. You review each one before it's filed. This guide takes you from nothing to your first filed document in about 5 minutes.
Before you start
Your clinic uses Best Practice and is in Australia.
Lyrebird is connected to your Best Practice site. If it isn't, follow BP Premier – Lyrebird Health integration first.
You're a member of your clinic's Lyrebird organisation. Any member can use Document Sorter, except users with the Secretary role.
Step 1 - Open Document Sorter
Head to Settings on Lyrebird.
Click Document Sorter in the left-hand navigation.
If you're not yet part of an organisation, you'll be asked to create one or join your clinic's existing one.
If your organisation has one Best Practice site, it's selected automatically. If it has more than one, choose the site you work at.
Step 2 - Upload your first documents
In the Import Queue, click Upload.
Choose up to 20 documents at a time. PDF, Word (DOC/DOCX), PNG, JPEG and TIFF files are supported, up to 20 MB each. Word files and images are converted to PDF automatically.
Click Done.
Each document shows an Analysing indicator while Lyrebird reads it. This usually takes a few seconds.
Step 3 - Check what Lyrebird found
Click a document to open it. Lyrebird suggests:
the patient (name and date of birth), matched to your Best Practice records
the doctor it's for, based on who has seen that patient recently
who sent it, a subject line, a category and the document date
The places on the page where Lyrebird found each detail are highlighted, with a confidence indicator. Change anything that isn't right by clicking the field. See Reviewing and filing documents for more.
Step 4 - Choose where it goes
Doctor's Inbox (the default) sends it to the doctor to review in Best Practice.
Patient's File files it straight into the patient's record.
Then choose the section (Store In), such as Correspondence In.
Step 5 - Verify and send
Click Verify on each document you're happy with. You can also Reject it (deletes it) or Skip it for later.
When you've verified some documents, click Auto Import.
Check the summary of what will be sent and where, then click Send to Best Practice.
That's it. Open Best Practice and you'll find the documents in the doctor's inbox or the patient's file. Lyrebird checks each one arrived. You can see everything you've sent in the History tab.
