Set up the desktop app

Set up the Lyrebird desktop app to automatically upload everything your scanner or fax saves to a folder.

The Lyrebird desktop app watches the folder your scanner or fax saves to, and uploads every new document to Document Sorter automatically. Scan it, and it's in your queue - no uploading by hand.

Clinics that use the desktop app get the most out of Document Sorter.

What you'll need

  • A Windows or Mac computer that can see the folder your scanner or fax saves documents to.

  • Your Lyrebird login.

Step 1 - Install the app

  1. Open Document Sorter in Lyrebird and click Download the desktop app.

  2. Install it and sign in with your Lyrebird login.

The app keeps itself up to date automatically.

Windows users: When installing please note that when the installation prompt appears, click More Info, then Run Anyway. Our team is currently working on a fix for this.

Step 2 - Open the Lyrebird App Doc Sorter Settings

  1. Click the cog icon in the top right to open the app settings

  2. In the app's settings, select Best Practice as the EMR.
This will bring up the Doc Sorter configuration options.

Step 3 - Configure the document sorter settings

3A. Choose the watch folder

This is the folder Document Sorter monitors. We recommend selecting the folder your scanner or fax saves documents into.

  • Choose only that folder - don't choose a large shared folder or your whole Documents folder, as everything in it will be uploaded.

  • When auto-sync starts, the app also uploads documents that are already in the folder.

  • Toggle on the Watch Folder is on a network drive setting only if the Watch Folder lives on another computer or a shared server.

3B. Choose what happens after upload

Pick whether the files either:

  • Archive - move each file to an archive folder once it's uploaded (recommended), or

  • Delete - remove the file from the watch folder once it's uploaded.

If you select Archive, you can also enable an optional daily subfolder.

Important: set an archive folder even if you'd rather delete. At the moment, auto-sync won't start without one.

Other settings you can enable:

  • Skip duplicate files (recommended on) - if the exact same document has already been uploaded, it won't be sent again. The extra copy is moved to a "_duplicates" folder inside your archive, so nothing is lost.

  • Move failed uploads aside (recommended on) - a file that can't be uploaded (for example, you're logged out, or it's an unsupported file type) is moved to a "_failed" folder so the app doesn't keep retrying it. Anything that only failed because you were logged out uploads automatically once you log back in.

  • Auto refresh import queue on upload - reload the document sorter page after a file is uploaded so it appears immediately.

  • Document Sorter only - shown at the top of the settings page. This shows just the Document Sorter for a simpler screen when you launch the Lyrebird app - great to simply the process for admin staff that don't require access to other parts of Lyrebird.

Step 4 - Turn on auto-sync

  1. Click Enable Auto Sync

  2. Click "Save Settings"

New files in the watch folder now upload on their own, and appear in your Import Queue within moments.

💡 Good to know

  • Supported files: PDF, Word (DOC/DOCX), PNG, JPEG and TIFF, up to 20 MB each.

  • One computer per folder. If several computers can see the same scan folder, turn auto-sync on for only one of them. Otherwise documents may be uploaded more than once.

  • Duplicates are skipped. The app recognises files it has already uploaded.

  • Failed uploads are kept separate, so you can see which files didn't make it and retry them.

  • Large batches. The app uploads in batches, so a very large folder takes a little while to work through.

Troubleshooting

If a scan doesn't appear in your inbox:

  • Check the "_duplicates" folder inside your archive - it may have already been uploaded.

  • Check the "_failed" folder inside your archive - it may not have been able to upload (often an unsupported file type).

Using a shared network folder?

Only one computer should have Auto Sync enabled against it. If more than one machine has Auto Sync on, each will upload every scan and you'll get duplicates.

The same document appeared twice.

Check that only one computer has auto-sync on for this folder. See also Troubleshooting Document Sorter.

Auto-sync won't turn on, or says to check the watch folder exists.

Make sure an archive folder is set (see Step 3), then try again. The app shows the reason if it still can't start.

Syncing seems to have stopped.

This can happen after the computer sleeps. Refresh the app or restart it.

Files stay in the watch folder after upload.

Check which after-upload option you've chosen in Step 3, and check the History tab in Document Sorter to confirm they arrived.
