Reviewing and filing documents

How to check what Lyrebird found, choose where a document goes, and send it to Best Practice.

Everything you need to know about checking a document and sending it to Best Practice. Nothing is filed until you verify it.


The Import Queue

The Import Queue lists documents waiting for you, from the last 7 days.

  • Filter by status or doctor.

  • Drag the dividers to resize the queue, document viewer and details panels.

  • Tick several documents to delete them together.

  • After you verify, reject or skip a document, the next one opens automatically.


What Lyrebird fills in for you

A short description of the document

The document's date. For pathology, the collection date

On the document, Lyrebird highlights where it found each detail, with a confidence indicator. Click any field to change it.


Finding the right patient

If the suggested patient is wrong, click Select different patient and search by name or date of birth. Results update as you type.

  • Can't find them? Try Medicare number search.

  • New patient? Create them in Best Practice straight from the document. This is handy for new-patient registration forms. You can also update an existing patient's details.

  • Inactive patients don't appear in search at the moment. To file to an inactive patient, reactivate them in Best Practice, file the document, then deactivate them again.


Choosing where it goes

1. Choose the destination:

  • Doctor's Inbox - the doctor reviews it in Best Practice before it's filed to the patient. This is the default.

  • Patient's File - filed straight into the patient's record.

2. Then choose the Store In section:

  • Doctor's Inbox: Correspondence In, Investigations or Clinical Images.

  • Patient's File: Correspondence In, Correspondence Out or Clinical Images.

Your practice manager can set defaults, so most documents arrive with the right destination already chosen.


Fixing the document itself

  • Split - a scan contains several documents? Split it into separate documents by page.

  • Rotate - turn individual pages the right way up. The change is saved.

  • Merge - combine documents that came from the same email.

  • Reprocess - ask Lyrebird to read the document again, for example after a poor scan.

  • Zoom, fullscreen and download are in the document viewer.


Verify and send

  1. Click Verify on each document you're happy with. You can also Reject it (deletes it) or Skip it for later.

  2. Click Auto Import to send all verified documents at once, or send a single document on its own.

  3. Check the summary, then click Send to Best Practice.

Lyrebird checks that each document actually arrived in Best Practice before marking it as sent.


After sending

  • The History tab shows every document you've sent, what was extracted, and exactly where it was filed.

  • If a send fails, the document stays in your queue so you can try again.

  • Sent something to the wrong place? Open it in History and return it to the queue, correct it, and send it again.


Known issue

In some cases, a document's date changes to the date it was filed once a doctor moves it out of their Best Practice inbox. We're fixing this.
