Lyrebird's Generic Workflows let you build, customise, and reuse document templates that fit your practice. Whether you're uploading your own documents, adapting pre-built workflows, or creating workflow letters using HTML templates to preserve your clinic's original formatting, this guide walks you through all your options.
Workflows are now available regardless of clinical system integration status. You can access them during consultations (via Bp) and after consultations (via the web). Workflows can now be completed and executed directly from the post-consult view, enabling teams to generate forms and PDFs after consultations end. Please note: Workflows are not currently available to users in the UK. Important: In-consult workflow suggestions are temporarily unavailable due to rate limiting constraints (as of 21 July 2026). We are working to restore this feature and appreciate your patience.
Part 1: Creating a Workflow
Workflows in Lyrebird let you upload, build, and reuse document templates tailored to your practice. Once created, they live in your personal library, ready to use in seconds and shareable across your organisation.
Step-by-Step Guide
Navigate to Workflows
From the main navigation, click Customise
Select the Workflows tab from the left-hand side
You'll land in your Personal Workflows. This is where all your created or amended workflows are stored
Create a New Workflow
Click Create Workflow
Choose how you'd like to build your workflow. You have three options:
Browse your computer: upload an existing file directly from your device
Select from tabs or templates: choose from templates already available in Lyrebird
Compose from scratch: build a new workflow from a blank canvas
Upload and Scan Your Document
If uploading from your computer, browse for your file and select it to upload
Lyrebird will automatically scan the document to identify the context and any input fields
Once complete, your document will be converted into a workflow ready for editing
Review and Edit Your Workflow
Review the workflow that has been generated
If you need to make any adjustments, use the text field at the bottom of the screen to create or edit components
Continue refining until the workflow looks exactly as you need it
Name and Save Your Workflow
Update the workflow name to something clear and recognisable. This is how it will appear in your personal library
Click Save Workflow to save your changes
Always click Save Workflow before navigating away to ensure your work is not lost
Confirm Your Workflow is Saved
Click the back arrow to return to your Personal Workflows page
Your new workflow will now appear in the list, confirming it has been saved successfully
Share with Your Organisation (Optional)
If you'd like other members of your organisation to access the workflow, click Share to organisation
Organisation members will then be able to download the workflow and add it to their own personal libraries
Tips for Best Results
Name your workflows clearly. A descriptive name makes it easier to find and select the right one during a consultation
Always save before navigating away. Lyrebird won't retain your workflow until you click Save Workflow
Use the edit field to fine-tune any components that weren't picked up correctly during the scan
Share thoughtfully. Once shared to your organisation, members can download and use the workflow independently

Part 2: Editing Prebuilt Workflows
Lyrebird comes with a library of pre-built workflows ready to use out of the box. If one of these workflows is close to what you need but not quite right, you can select and edit it to match your exact requirements, without needing to build from scratch.
Step-by-Step Guide
Navigate to Workflows
Click Customise from the main navigation
Select Workflows from the left-hand side menu
Here you will see both Built and Unbuilt workflows. These are Lyrebird's pre-built templates available for your account
Select a Workflow to Edit
Browse the available workflows and select the one you'd like to amend
On the right-hand side, click Documents Generated, then select the document you want to preview and edit
Preview and Make Amendments
A preview of the workflow will appear on screen
Use the AI text field at the bottom to request any changes you need. Type your instructions in plain language, just as you would when speaking to a colleague
For example: if you'd like to change a field name, type your request and Lyrebird will make the update for you automatically
Review the Updated Workflow
Check that all required fields, sections, and content look correct
Confirm that any MBS billing fields or compliance requirements are still present and accurate
Continue making adjustments via the AI text field until you're satisfied with the result
Save Your Edited Workflow
Once you're happy, click Save Workflow
A confirmation will appear to let you know the workflow has been saved
Click Back to return to your Personal Workflows page
Use Your Workflow in Consultations
Your edited workflows will now appear in your Personal Workflows list
They are ready to use immediately during your consultations
Tips for Best Results
Write amendment requests in plain language. The AI text field understands natural instructions, so there's no need for technical formatting
Always check MBS billing fields after making edits to confirm compliance requirements are still intact
If a prebuilt workflow needs significant changes, consider uploading your own document instead (see Part 1)

Part 3: Using Workflows During Consultations
Once you've built or customised your workflows, you can access them instantly during consultations through the in-consult sidebar. To make your most frequently used workflows even easier to find, Lyrebird lets you star your favourites - keeping the workflows you need most close at hand during busy sessions.
Step-by-Step Guide
Access Your Workflows During a Consult
During an active consultation in Lyrebird (via Bp), look for the Workflows section in the right-hand sidebar
Your personal workflows will be displayed as a filtered list showing only those that match your field of practice
This filtering helps reduce clutter and makes it easier to find workflows relevant to the way you work
Browse through the filtered list to find the workflow you need
If a workflow seems to be missing, check whether it is intended for a different field of practice
Star Your Favourite Workflows for Faster Access
Next to each of your personal workflows in the sidebar, you'll see a star icon
Click the star icon to mark a workflow as your favourite
The star will fill in, indicating that the workflow is now starred
Starred workflows appear at the top of the list, making them quicker to find in future consultationsYou can favourite and unfavourite your own templates at any time—whether during a consultation or after—to streamline your access to the templates you use most
Select and Use Your Workflow
Once you've found the workflow you need, click on it to open it
Fill in the required fields based on the patient's information
The workflow will generate the corresponding document, ready for use in your consultation

Star workflows you use regularly to keep them at the top of your sidebar during consultations
Spend a moment at the start of your week to organise your starred workflows based on your clinical schedule
You can have multiple workflows starred—there's no limit to how many you can favourite
Part 4: Accessing Favourite Workflows from the Post-Consult Sidebar
Once your consultation is complete, your favourite workflows remain just as accessible in Lyrebird's post-consult sidebar. This feature lets you quickly return to the workflows and documents you use most, without needing to search through your entire library—perfect for finalising notes, generating follow-up documents, or accessing commonly used PDFs.

Access the Post-Consult Sidebar
After your consultation concludes, you'll remain in Lyrebird on the post-consult page
Look for the Workflows section in the right-hand sidebar
Your favourite (starred) workflows will appear at the top of the list
View Your Favourite Workflows
Starred workflows appear at the top of your workflows list in the post-consult sidebar
Your favourites are organised in the same order they were starred
You can scroll down to see additional workflows beyond your favourites if needed
Use a Favourite Workflow
Click on any of your starred workflows to open it
Fill in the required fields with relevant information from your consultation
The workflow will generate your document, ready to finalise and send

Focus your post-consult favourites on templates you use after every appointment—such as referral letters, clinical summaries, or follow-up instructions—to streamline your documentation
Your starred workflows sync instantly across in-consult and post-consult access, so any changes you make in one context automatically appear in the other
Part 5: Create Workflow Letters with HTML Templates
Lyrebird now supports creating workflow letters using HTML templates. This feature preserves your clinic's original formatting precisely, making it ideal for prose-based letters where exact styling and layout are important. Rather than converting your document to a form-based layout, HTML templates maintain the document exactly as you've designed it.
When to Use HTML Templates
HTML templates work best when:
You have a prose letter or document with specific formatting requirements
You want to preserve your clinic's branding, fonts, and styling exactly
Your document contains complex layouts or styling that form-based conversions don't capture well
You're working with existing clinic letters that are already perfectly formatted
How to Create a Workflow Letter with HTML Templates
Navigate to Workflows and Create a New Workflow
Click Customise from the main navigation
Select Workflows from the left-hand side
Click Create Workflow
Choose to Upload an HTML Template
Select Browse your computer
Navigate to your HTML template file and select it to upload
Lyrebird will recognise the HTML file and process it as an HTML template rather than converting it to a form-based layout
Review Your HTML Workflow
Your HTML template will be displayed, preserving all your original formatting, fonts, colours, and layout
Review how the document will appear when used in consultations
If you need to make adjustments, use the text field at the bottom to request changes in plain language
Save Your HTML Workflow
Once you're satisfied with the preview, update the workflow name to something clear and recognisable
Click Save Workflow to save your HTML template-based workflow
Your workflow is now ready to use in consultations
Tips for Best Results with HTML Templates
Ensure your HTML file is well-structured and properly formatted before uploading
Test your HTML template in different browsers to confirm formatting displays correctly
If your letter contains variable fields (such as patient name, date, or medical details), clearly mark these so Lyrebird can identify and populate them correctly
HTML templates are particularly useful for letters with your clinic's specific branding, letterheads, or complex layouts
If you need to make changes after saving, simply select the workflow and use the edit field to request modifications
